How to Migrate Email from SmarterMail to Open-Xchange

Here is a quick summary of how to migrate your email from SmarterMail into your new Open-Xchange (also referred to as OX) account. You can find more detailed instructions below this summary:

To migrate your mailbox, you'll need an email program to export and import your email (for example, Outlook). Here is the general method:

  • Setup an account in your email program to connect to the SmarterMail server using an IMAP connection.
  • Export the email from your SmarterMail mailbox in your email program to a backup file.
  • Setup an account in your email program to connect to the Open-Xchange server using an IMAP connection.
  • Import the backup file into the OX mailbox in your email program.

There are many email programs you can use to import and export email over IMAP. The following instructions were written for Outlook 2010 and apply to other versions of Outlook also. If you don't use Outlook, you can still follow those general steps to migrate your email into OX.

Note: Any folders or messages you want to migrate MUST be IN the "Inbox" folder on your SmarterMail server. This is due to the way Open-Xchange manages folders and the Inbox. Before proceeding, in your SmarterMail account, move all messages and folders you want to migrate into your Inbox folder. Any messages or folders OUTSIDE the Inbox WILL NOT be imported into OX properly.

The following instructions were tested using Outlook 2010, however you should be able to use them for other versions of Outlook also.

  • Exit Outlook if it's open.
  • Open the Windows Control Panel. Click Mail (32-bit). The Mail Setup window opens.
  • Click Show Profiles then click Add.
  • Enter a new profile name (for example, SmarterMailExport) and click OK. The Add New Acount window opens.
  • Select Manually configure server settings and click Next.
  • Select Internet E-mail and click Next.
  • Enter the following information:Click the More Settings button. A window opens with additional settings.
    • Your Name: Enter your first and last name
    • E-mail Address: Enter your full email address (for example, user@yourdomain.com)
    • Account Type: IMAP
    • Incoming mail server: Enter SmarterMail server address (for example, mail.yourdomain.com or mail10.safesecureweb.com)
    • Outgoing mail server (SMTP): Enter your SmarterMail server address again (same as incoming mail server)
    • User Name: Enter your full email address (for example, user@yourdomain.com)
    • Password: Enter your SmarterMail password
  • Click the check box for My outgoing server (SMTP) requires authentication under the Outgoing Server tab.
  • Select User same settings as my incoming mail server (it may already be selected).
  • Click the Advanced tab.
  • Under Server Port Numbers, set Incoming server (IMAP) to 143 and Outgoing server (SMTP) to 50.
  • Set Use the following type of encrypted connection to None for both incoming and outgoing and click OK.
  • On the previous window, click Next. A test of your account settings will begin automatically.On the previous window, click Finish. The IMAP connection to SmarterMail is now ready!
    • If all the settings are correct, the tests will pass and show "Completed" with a green checkmark. Click Close.
    • If the tests fail, please contact Support for assistance.
  • Next, create a profile for the connection to OX. Back in the Mail window, click Add again.
  • Enter a new profile name (for example, OpenXchangeImport) and click OK.
  • Select Manually configure server settings and click Next.
  • Select Internet E-mail and click Next.
  • Enter the following information:
    • Your Name: Enter your first and last name
    • E-mail Address: Enter your full email address (for example, user@yourdomain.com)
    • Account Type: IMAP
    • Incoming mail server: imap.hostmanagement.net
    • Outgoing mail server (SMTP): smtp.hostmanagement.net
    • User Name: Enter your full email address (for example, user@yourdomain.com)
    • Password: Enter your OX email password
  • Click the More Settings button. A window opens with additional settings.
  • Click the check box for My outgoing server (SMTP) requires authentication under the Outgoing Server tab.
  • Select User same settings as my incoming mail server (it may already be selected).
  • Click the Advanced tab.
  • Under Server Port Numbers, set Incoming server (IMAP) to 143 and Outgoing server (SMTP) to 25.
  • Set Use the following type of encrypted connection to None for both incoming and outgoing and click OK.
  • On the previous window, click Next. A test of your account settings will begin automatically.On the previous window, click Finish. The IMAP connection to OX is now ready!
    • If all the settings are correct, the tests will pass and show "Completed" with a green checkmark. Click Close.
    • If the tests fail, please contact Support for assistance.
  • Back in the Mail window, under the list of profiles, select Prompt for a profile to be used and click OK.
  • Open Outlook again. You are prompted to choose a profile. Select the new IMAP SmarterMail profile you created and click OK.
  • Outlook will synchronize with SmarterMail automatically. This may take a few minutes or more depending on the size of your mailbox.
  • After Outlook is done synchronizing, export your mailbox to a backup file. Refer to this KB for steps to export your mailbox in Outlook.
  • Once the export is complete, close Outlook and reopen it. This time, select the profile you created for OX and click OK.
  • Import the backup file you just created into the OX mailbox. Refer to this KB for steps to import your backup file in Outlook.The email is imported into the OX mailbox via IMAP. It may take a few minutes to copy your email to the OX server depending on the size of your mailbox.
    • IMPORTANT: At step 10 of the Outlook Import KB, select the Inbox rather than the Outlook Data File which is selected by default. This ensures OX can properly import your data.

Now when you view your OpenX-change webmail, you'll see your imported email from SmarterMail!
